Automobile/Fleet

University Fleet Policy

University Fleet Policy 1705 provides details on the University Fleet, Rental and Safety Program. This policy includes information on the purchase of vehicles, proper use, driver requirements and safety rules. Anyone who plans to use University owned or rented vehicle should consult this policy prior to use.

Below is additional information on items of particular interest.

Claims

Claims involving automobile accidents are administered by PMA Management Corporation, the University's outside Third Party Claims Administration company, with oversight provided by The Office of Risk Management. Payments for damage to Yale vehicles will be made by PMA directly to the University department. Reporting Claims.

Deductibles

Departments will be charged a deductible of $500 per accident if the Yale driver involved was not considered to be a regular driver, or is a regular driver who has taken and passed the Driver Safety Awareness Class. The deductible charged to the department will be doubled to $1,000 per accident if the Yale driver involved was a regular driver and has not passed the Driver Safety Awareness class. Deductibles will be assessed to the department by the Office of Risk Management once the claim has been settled and closed by PMA.

Rental Vehicles

Yale University Travel Services has negotiated contracts with preferred vehicle rental agencies. These contracts include insurance with the rental. If you rent a vehicle from one of these preferred agencies, you will not be assessed a deductible if an accident occurs. The Office of Risk Management strongly recommends renting from one of these agencies.

If you rent from an agency other than those listed, and you have an accident, the deductibles as shown above will apply.

Insurance for rental vehicles only applies to authorized drivers.

International Rentals: if you are renting a vehicle outside of the 48 contiguous United States, please purchase the insurance with the rental.  Our insurance and the rental agency's insurance will not apply. 

Use of Personal Vehicles

In the event of an accident while using your personal vehicle for official University business, YOUR auto insurance is always PRIMARY, and the University’s insurance is EXCESS of your primary limits for damages to a third party. Please report all accidents to your personal automobile insurance company, but advise the Office of Risk Management of the accident as well.

Student Drivers

All students are required to take and pass the Driver Safety Awareness class in order to be covered under Yale University’s Automobile Insurance when driving Yale owned or rented vehicles. Additional information on insurance provide to students and student organizations can be found here.

Cargo/Shipments

Information

Our cargo insurance protects Yale University in the case of damage to any item being shipped, either to or from campus, as long as we are the owner of the goods and/or we are contractually responsible for them while they are in transit. Some exclusions or limitations apply.

Cargo claims are administered by PMA Management Corporation, the University's Third Party Claims Administration company, with oversight provided by the Office of Risk Management. Reporting Claims

Payment for the full amount of damage will be made by PMA directly to the Department.  There is a deductible of $750 per claim, and deductibles will be assessed to the department by the Office of Risk Management once the claim is settled and closed by PMA.

Fine Arts

Information

Our Fine Arts insurance protects Yale University in the case of damage to any of our artwork or irreplaceable items, including, among other things, paintings, sculptures, tapestries, and rare books. Fine Arts claims are administered by PMA Management Corporation, the University's Third Party Claims Administration company, with oversight provided by the Office of Risk Management. Reporting Claims. Most causes of damage are covered, including fire, flood, and theft, but there are exclusions or restrictions that may apply.

This coverage applies to property owned by or loaned to Yale, while located anywhere on campus, and or may be extended to cover off campus locations, subject to some limitations and contractual provisions.

Payment for the full amount of damage will be made by PMA directly to the Department.  There is a deductible of $1,000 per claim, and deductibles will be assessed to the department by the Office of Risk Management once the claim is settled and closed by PMA. General Liability

Information

Our general liability insurance covers accidental injuries to visitors on campus, as well as damage to property owned by visitors or other parties. It also covers the University from any allegations of personal injury, such as libel and slander. Exclusions and coverage limitations do apply. Departments are not currently charged a deductible for general liability claims.

Note: General liability insurance for operations of the Yale School of Medicine, School of Nursing, School of Public Health and Yale Health is placed in conjunction with the insurance carried by Yale New Haven Hospital. Claims are administered by the Office of Legal and Risk Affairs at YNHH. (203) 688-2291

Except as noted above, claims are administered by PMA Management Corporation, the University's Third Party Claims Administration company, with oversight provided by the Office of Risk Management. Reporting Claims.

Information
